Printer offline status is the printer's way of telling you that something is wrong with the communication between your computer and your printer, through a USB cable or a network connection (wired and wireless). So, one of the first things you check is your printer's connection to your PC.

There are several ways to solve the problem, varying depending on the type of printer and operating system of the computer that is connected to the computer, but in general, the solutions are very similar, with a few similar steps to follow.

  • Locate the original print driver that you installed earlier. It should have the name of your printer.
  • Next, you need to change the default printer from the original print driver. To do this, right-click on your printer image and select Set as Default Printer.
  • Try to print. If the problem persists, try the next method.

Method 2 : Perform power reset and check connections

The first step in trying to resolve the issue is to set the default printer. It may have been replaced by some other driver you recently installed that has a similar name to your printer. To do it:

  • If the printer is off, turn it on and check its status:
  1. If you start print jobs in the print queue, the printer is cleaning the documents from the queue and is online. You can stop troubleshooting.
  2. If the printer goes to a sleep state after the power-up routine, it may be online.
  3. But if the computer still shows the printer as offline, follow these steps.
  • With the printer turned on, unplug the power cord from the back and unplug the cord from the electrical outlet.
  • If you are using a USB or network cable, make sure the cable is not disconnected or damaged.
  • Wait at least 60 seconds. Reboot your computer while you wait.
  • Reconnect the power cord to the electrical outlet and the back of the computer.
  • If the printer does not turn on automatically, press the power button to turn it on.
  • Try to print. If it works, you'll be back online. If it doesn't work, go to the next method.

Common Reasons for Printer Offline

Overloaded Print Jobs

This is the most common reason for your printer to go offline. If your device lie unused for a long time, there is a probability of printer turning offline.

Poor Quality USB Cable

This might also be considered as the cause of a printer’s offline error. In printers, USB cables play an important role in every model of printer.

Faulty Drivers

Using outdated printer drivers or other software leads to the failure of the printer devices. If you take help from the machine with obsolete drivers.

Start or Stop Spooler Settings

Print Spooler Programs are in charge of maintaining print jobs and instructions, and if they aren't performing properly, your printer will turn offline.

Method 3 : Check that the “Use Printer Offline” setting is turned on

  • Search for devices in Windows and select Devices and Printers from the list of results.
  • The Devices and Printers window will appear. Right-click the icon that represents your printer and select See what's printing.
  • Select the printer. If there is a checkmark next to Use Printer Offline, click to clear it. Also, if there is no check mark next to Pause Printing, if so, click to deselect it.
  • Try to print.

If the above options did not work or the printer returned to Offline mode after printing the documents, the problem may be with the connection port. If the driver is using the wrong communication port, the printer will remain offline because the connection cannot be reestablished.

Method 4 : Check that the selected port is correct

  • Search Windows for Devices and Printers.
  • A new window will open, right-click on the icon that represents the printer and select Printer Properties.
  • Another window will open. Click the Ports tab.
  • Check the port list and make sure the port type matches the connection used by the printer. If you are using a USB connection, the port type should have USB or DOT4 in the description and this option should be selected by clicking the box next to it. But if you are using a network connection, you must include the type of WSD Port, network, or IP in the description. The procedure is the same as the previous one.
  • Accept and try to print.
